Team Work Series: Demonstrating and Communicating Health Center Value

Participants: This teamwork series is geared towards health center staff including:

  • WPHCA Performance Excellence Committee members,
  • WPHCA Policy and Strategy Committee members,
  • CHC team members involved in quality improvement, finance, outreach and communications


Overall Meeting Objectives

As a result of today’s meeting, participants should be able to:

  • Describe the intersection of clinical care and community impact.
  • Work with their team to identify one value area on which CHC teams can collaborate to create a story of value to their community.
  • Develop actionable next steps for collecting data and developing a message of value.
  • Strengthen relationships/networks among Health Center leaders.



Wednesday, April 17, 2019: Setting the Stage

4:00 – 4:15     Welcome & Setting the Stage


4:15 – 5:00     Telling the WPHCA Value Story

Lead by Rippe Keane. Rippe Keane is a leading marketing firm based in Madison, WI. They will lead us through the critical elements of telling our story, combining our values (mission-based) with our value (data-based) to create what in marketing, would be called “brand”.


5:00– 5:45       Current state: What activities are you currently doing in this area?

Breakout into two groups, generally by role, to discuss and share about existing data and communication methods at the Health Centers. We will debrief after 30-40 minutes in our groups.


  • Group 1: Communications, grant writing, and outreach staff (the people that “need” the data)

o   What are your existing talking points about the value you provide to your community?

o   Where do you find data to inform your messaging?

o   How are you working with your quality and fiscal colleagues to get the data you need?

o   What would be helpful to know from your colleagues about their role or the information they have?

o   What works and doesn’t work about your current methods?

o   How will you take what you have learned and make it actionable?


  • Group 2: Quality and fiscal staff (the people that “have” the data)

o   What data do you have access too regularly?

o   What kind of information is easy to pull and calculate?

o   What requests do you currently get relating to external sharing?

o   How are you currently working with your communications, grant writing or outreach staff on providing data?

o   What would be helpful to know from your colleagues about their role or the information they need?

o   What works or doesn’t work about your current methods?

o   How will you take what you have learned and make it actionable?


5:45 – 6:15       Team time: what is our story opportunity?

Join your colleagues from your Health Center. After the discussion from this evening so far, where do you have gaps between the data available on your patients and clinical care and the story you are telling to the community? Who do you want to tell your value story too (ex. Medicaid, community partner, patients, etc.)?

Thursday, April 18, 2019: Determining Where We Are, the Vision & First Next Steps

7:30 - 8:30        Joint WPHCA Performance Excellence Committee and Policy & Strategy Committee Meeting (over breakfast)

8:30 – 8:45       Welcome and Introductions


8:45 – 9:30       Telling Our Value Story

                          Through structured networking, Health Centers share with each other how they have tried to tell their stories – what has                                                 worked, what hasn’t worked and what they have learned so far.



9:30 – 10:00     Team time: What story do you want to tell?

With your teams, discuss the story you want to tell to your community/customer identified on Wednesday. Work together to identify the vison for the story you want to tell?


      Key Questions for teams:

  • Who is the target of this message of value?
  • In what areas would we most like to see change?
  • If we are successful in our messaging, what will be different from today?
  • What data or information do we need to tell this story?
  • Is this a story that could be told through a variety of mediums (web, infographics, media, videos, social media)?
  • How does our team work together to tell this story and stories in the future?
  • Are we able to tie the story to real life people or real life examples with the data?


10:00 – 10:15     BREAK


10:15 11:00      Team time: What is your vision and the first next steps to get there?

    Work with your team to identify the next steps you are going to take when you return to your Health Center.

  • Use the implementation plan template provided to note your team’s first next steps to advance toward your goals for change.


        Key Questions for teams:

  • In what areas would we most like to see change?
  • Who is involved in the processes/care we would like to see change?
  • What are the first next steps that we will take when we get back to our Health Center?
  • How can our team work better together to on these issues in the future?
  • How can we create a process to archive stories for sharing and reuse later?
  • What do you need from your CEO, leadership and other team members to take these next steps?


11:00 11:30      Report out and sharing with your peers: What help is needed?

    We will break back into our groups from Wednesday evening. Share with your colleagues the value story your team will be                     working on. This is an opportunity to share strategies, leverage the expertise of your peers and identify T/TA needed from                      WPHCA.


11:30 – 11:45    WPHCA Board and Team Next Steps

  The WPHCA Board will join their CHC teams. Teams should share insights from their conversations and review next  steps with             the CEOs. This is a great time to incorporate feedback and develop accountability for accomplishing the next steps identified                by the team.


11:45 – 12:00    Closing, Evaluation & Next Steps

  • CHCs share next steps (brief report out)
  • How can WPHCA support the next steps identified?
  • Please complete an evaluation

12:00 – 2:00     Networking Lunch and Annual Meeting

Registered participants may substitute another participant at no charge up to the day of the conference. Please inform WPHCA staff ( of the substitution as soon as possible to coordinate meals and participant materials. Participants may cancel at no charge up to 7 days before the event begins. No refunds are available for cancellations 6 days or fewer before the event begins.
